This week we are highlighting an Administrative Assistant I position with the College of Social Science (Posting 7679). The position provides administrative support for the Development, Communication and Alumni Relations office in the College of Social Science; coordinates and maintains the daily office operations; oversees the requisition of donor gifts, office supplies, equipment and services and mail handling; assists with travel arrangements for donors and development officers for in-state and out-state travel; creates briefing papers for development officers; creates and maintains files for endowments/scholarships, donors and prospects; provides reports using Advance and ART; updates Advance database; processes all gifts sent to the College; manages gift acknowledgement system for all gifts made to the College; downloads gift information from Advance; prepares departmental accounting reports; manages and maintains database for all College of Social Science endowments and expendable accounts; maintains the Development Office operating account; reconciles, monitors and verifies all expenditures for the Social Science Development Office; processes and maintains records for Development Purchasing cards; helps maintain the tracking of College of Social Science major and special gifts and donor prospects; compiles, analyzes and creates reports based on data from internal and external sources regarding donors and gifts; assists development officers with screening information and helping in preparation for cultivating and solicitation visits; provides assistance in preparation of donor and alumni events; oversees event expenditures and vendor payments; and processes budget transaction for all alumni and communication expenses.

Job of the Week 4/19/13

This week we are highlighting an Office Supervisor III position with MSU Residential & Hospitality Services (Posting 7620). This position serves as Payroll office supervisor and manages the specialized area of Centralized Payroll for the Division of Residential and Housing Services within the department of Auxiliary Resources; will be responsible for the daily oversight and supervision of 11 FTEs and students to ensure the payroll and related human resource functions, duties and responsibilities meet specific deadlines in processing for 900 full time and 6000 hourly and student employees in 9 departments; will be responsible for maintaining security access to the Ultra Time System and update the account, sub-account and job codes within the system to align with SAP/Kuali for the Division; and will be required to submit, verify and monitor interface reports uploaded from the Division’s Ultra Time System and evaluate the payroll assistant’s findings on the error report prior to final submission. This office is responsible for reviewing and approving student and on-call processing through SAP, and assisting Payroll Assistants with verification of interface reports containing personnel and payroll data to ensure an accurate payroll. In addition, this position will be expected to assist in and/or perform the full range of payroll, human resources and clerical duties for the employees they supervise, if the need arises.
